Summary:

Reporting to the Vice President, Sales, this role supports the sales function by preparing proposals and bids, works directly with customers regarding proposals and scheduled work, including other administrative services for the Sales Department and staff. This role requires effective communication and working relationships, both internal and external, as an essential part of daily working life.

Responsibilities:

· Support the sales team by producing proposals, bids, letters, memos, reports, spreadsheets, filing, and general administration.

· Review estimate sheets in proposal holding folder daily and prepare all proposal documents, time and material authorization forms and modernization documents.

· Once an approved proposal is received, maintain proposals’ status, distribute approved copies to accounts receivable for approval and then to department supervisors for scheduling.

· Work with the sales team to review and approve sales documents for final submittal by Sales Representatives to customers.

· Prepare consultant bid documents for final submittal to customer for review.

· Produce a weekly list of all pending proposals and work with Director, Sales to follow up on all pending proposals/bids.

· Produce weekly list of all follow up action items to confirm status.

· Produce weekly list of all recently approved proposals still open pending update.

· Produce and amend standard forms/emails for use on site and in the office to assist the sales team.

· Take telephone enquiries from prospective customers regarding both forthcoming and existing sites, creating a database for future use for Sales Representatives.

· Generate monthly KPI’s and WIP reports for Sales and Modernization Departments.

· Creates monthly sales performance sheets and verifies data.

· Handle new customer relations, introductions, enter information in company records.

· Support dispatch overflow as needed.

· Performs other duties as assigned.

Qualifications:

· High School Diploma required. Associate degree in Business Administration or a related field strongly preferred.

· 2+ years of work experience in construction or industrial equipment service sales (elevator service highly preferred). Previous commercial and/or residential elevator installation or servicing experience a strong plus.

· Possess a positive can-do attitude with strong interpersonal/communication/presentations skills and the ability to build strong customer relationships at all levels.

· Highly organized person who can monitor numerous projects at once and who can prioritize opportunities and has the analytical ability and business acumen to focus on profitable “wins.”

· Must have exceptional multitasking skills and the ability to work in a fast-paced environment.

· Proficient in Microsoft applications, including but not limited to Excel, Outlook, and Word.

Work Environment & Physical Demands:

· This job operates in a general office environment.

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift (up to) 15-pounds at times.

Work Contact Group:

· Significant contact with management and the Sales Department.

· Moderate contact with new and existing customers.

Job Type: Full-time

Pay: $23.00 - $27.00 per hour
